How To Fill Out Your Timesheet: A Step by Step Guide

Today, I’m here to walk you through how to properly fill out your timesheet according to The Job Shop’s requirements. Following these steps will help ensure your hours are processed correctly and you avoid any payroll delays.
Timesheet Deadlines
● If you worked Monday–Friday, your timesheet is due Friday by 6:00 PM
● If you worked Saturday or Sunday, your timesheet is due on Monday by 12:00 PM (noon)
● All timesheets must be submitted by Monday at 12:00 PM
1. Enter Your Full Name.
a. Always include your first and last name clearly at the top of your timesheet so payroll can process it correctly

2. Check the Dates.
Verify that that the dates at the top match the correct work week.
a. You can include all dates for the week or only the days worked.
b. Every day you worked must be listed.

3. Record Your Work Hours Accurately.
Your work hours should reflect the time you:
a. Start working (on the floor).
b. Finish working (leave the floor).
c. Calculate the time in from the time out and place it in the regular time slot accurately.

Lunch Break Reminders
Lunch breaks become mandatory and unpaid after 6 hours worked and shifts over 12 hours require at least a 1-hour lunch break by California law.
● Include your lunch break (30 minutes or 1 hour)
● You may waive your lunch after 5 hours but before 6 hours
● After 6 hours, a lunch break is mandatory and unpaid
● Enter total daily hours under Regular Time
Understanding Overtime
Hours up to 8 are regular time, anything over 8 hours is overtime, and shifts exceeding 12 hours qualify for double time.
● Up to 8 hours = Regular Time
● Over 8 hours = Overtime
● Over 12 hours = Double Time
● Shifts over 12 hours require at least a 1-hour lunch break

4. Confirm the Week Ending Date
The “Week Ending” date should always be the Sunday at the end of that work week.

5. Review Your Totals
Add up each day’s regular time you worked per property in the overall regular time in the section shown below.
Make sure:
● Regular Time, Overtime, and Double Time are correct
● All hours add up accurately

6. Select Payment Preference
Check the appropriate box:
● Hold check
● Mail check
Choose whether you’d like your check to be held or mailed. If no option is selected, your recruiter may need to contact you before processing.

7. Signatures & Final Review
Before submitting, confirm:
● Employee signature is completed
● Company’s name is listed
● Supervisor signature is included (if required)
Make sure to include your employee signature and company name. If a supervisor is unable to sign, please turn in still turn in the timesheet without a signature.

Before submitting your next timesheet, take a few minutes to review every date, hour, break, total, and signature so your pay can be processed without unnecessary delays. Taking that few extra minutes to review your timesheet is accurate and complete can prevent delays in your paycheck.
