Executive Assistant with Accounting experience

We are looking for a highly organized and detail-oriented assistant to do administrative and some
accounting/personal work, who can multitask efficiently to join our office in San Francisco, financial
district.
Candidates must perform a variety of administrative, clerical and accounting tasks on a daily basis.
DUTIES AND RESPONSIBILITIES
Make phone calls, schedule meetings, manage calendars, read and respond to emails.
Draft correspondence such as emails and letters.
Maintain Quicken/Quickbooks for 2 accounts, includes but not limited to entering data,
issuing checks and producing financial reports (i.e. cash flow, bank reconciliation, and
monthly and annual financial statements for our audits).
Assist in the preparation of regularly scheduled reports and documents.
Perform general administrative duties such as but not limited to; filing, organizing files,
photocopying, taking meeting minutes, managing schedules, scheduling appointments with
internal and external parties, providing back up assistance to front office on a minimal basis
when front office is out of the office or at lunch.
Organizing, maintaining and updating desktop and online database records.
Run office related and personal errands as needed.
Liaison between the supervisor and vendors and oversea property manager for family
residence and ongoing projects at the house.
Tend to family visitors such as checking that the house is in order and making reservations
when guests are in town, etc.
Report to direct supervisor, CFO of company on all work aspects.

Quick learner and takes initiative.
Strong time management and ability to meet deadlines.
Highly organized, meticulous, and detail-oriented.
Great at multitasking, prioritizing work and can be self-sufficient.
Good follow through with tasks until work or project is completed.
Superb verbal and written communications skills.
Correspond with supervisor on a daily basis and provide updates during weekly meetings.
Great people skills and be able to work well with other employees in the office and always be
professional at work.

EDUCATION AND TRAINING REQUIREMENTS
Bachelors degree required.
At least 3 years of administrative experience.
At least 1-3 years of accounting experience.
Good knowledge of MS Office, Quicken and Quickbooks programs.
