Project Administrator

Job Summary

Responsible for providing administrative support to the assigned project teams, the Project Administrator assists the project architects and managers track and maintain project communications, documentation, and coordination. The Project Administrator is responsible for assuring all tasks, whether produced or coordinated, are completed in timely fashion.

Required Qualifications

  • Minimum 4 years of experience in an administrative role

  • Proficiency in Microsoft Office. Must have strong skills in Excel.

  • Experience with Adobe Creative Suite

  • Ability to maintain a high level of accuracy consistently on multiple assignments

  • Good interpersonal skills in environment of tight deadlines, frequent interruptions, and unexpected events

Preferred Qualifications

  • 4 or more years of experience in construction administration

  • Experience with project management software, especially Newforma Project Center

  • Experience with DSA procedures for permitting and construction

Duties and Responsibilities

  1. Perform general administrative duties such as typing, keeping meeting minutes, and filing

  2. Process, distribute and/or track Change Orders, RFI’s, Supplemental Instructions, Submittals, and other packages quickly and accurately

  3. Maintain studio related filing, both physical and electronic

  4. Package drawings and other studio related materials as needed

  5. Maintain Project Directories for assigned studios and other lists/reports as needed

  6. Prioritize own work load; when necessary assume responsibility for coordination with other staff to assist in completing duties in a timely manner

  7. Assist in special studio projects and assignments as required

  8. Assist in maintaining appearance of the studio

  9. Assist in calendaring of studio related meetings

  10. Provide back-up receptionist relief
